Venue Finding 101: Avoiding Hidden Costs and Booking Pitfalls

Choosing the right venue should feel exciting — not exhausting. But with countless packages, pricing models, and fine print to navigate, even seasoned bookers can find themselves facing unexpected costs or unclear contracts.

Over the years, I’ve seen how small oversights can lead to big budget surprises. That’s why I created this guide: to help you spot the common pitfalls early and understand how working with a professional venue finder can make the process smoother, clearer, and far less stressful.

 DDR vs Room Hire: What’s Right for Your Event?

The best pricing model depends on your event’s format, timings, and what’s included.  The devil is the detail here and taking the time for comparisons can help get the best deal.

  • Day Delegate Rate (DDR) offers a per-person bundled price, typically covering the meeting room, catering, and basic AV/services. But inclusions vary widely, particularly with catering so it’s essential to document ‘like for like to ensure you are getting what you are expecting.
  • Room Hire is a fixed fee for the space and hours, with catering, AV, and services itemised separately — ideal for bespoke or flexible formats.

To make comparisons easy, I send venues a detailed table to complete. This feeds into my clear, side-by-side proposal so clients can see exactly what’s included (and what’s not). When venues complete the table fully, it saves time and ensures both clients and I, get the full picture upfront.

 Costs to Clarify Early

These aren’t “hidden” so much as variable or venue-specific items that can change the bottom line if they’re not confirmed in writing:

  • Service charges (often 10–15%) and how/where they’re applied
  • VAT — is it included or excluded in the quote?
  • Early access / late finish fees outside contracted hours
  • Corkage / additional staffing for external suppliers or extended service
  • AV and Wi-Fi specifics beyond the standard package (e.g., technician time, streaming, extra mics)

My proposals show these items clearly, so there are no surprises later.

Contract Clarity: What to Watch For

Once you’ve chosen your venue, the contract stage is where details can slip through the net. Dates, minimum numbers, payment terms — all need to be crystal clear.

Is what you have asked for accurately documented on here?  Amendments are often made at this point.  I always advise clients to NOT sign unless they are completely happy at this point!
